Case study: Automating Electronic Vendor Invoices with SAP eDocument and VIM on SABA

Intro to SABA

Saba is a company specialized in parking management in several cities in Spain, Portugal, UK, Germany, Italy, Czech Republic, Slovakia and Chile. To provide the highest quality, they are committed to technology, innovation and digitalization of their services, which not only translates into better parking, but also more efficient and secure business processes.

Context:

In order to continue with this digitalization of its business and internal processes, SABA opted for a migration from SAP ECC to S/4HANA in 2021, as well as the automation of invoices with VIM in 8 countries: Spain, Chile, Portugal, the United Kingdom, the Czech Republic, Germany and Slovakia, for which they already had Brait.

To adapt to the new regulations in the area of electronic invoicing, have wanted to continue their relationship with us by hiring our flagship product of Invictia electronic invoicing by Brait.  

Objectives:

  1. Automate the process of receiving invoices from Faceb2b.
  1. Provide SABA with a platform where its suppliers other than Faceb2b can post invoices in electronic format.
  1. Receive and integrate electronic invoices into VIM, whether they come from Faceb2b or other providers.
  1. Automate the sending of invoice statements to the supplier and/or to the Faceb2b platform.
  1. Implement a scalable solution that can respond to the Create and Grow Act.
  1. Have a single monitor to manage the entire electronic invoicing process, taking advantage of the synergies of the current monitor used (eDocument framework).

Challenges:

  1. Reuse the SAP eDocument framework monitor as an invoice monitor.
  1. Invoice reprocessing controlled from the monitor itself.
  1. Take advantage of the synergies provided by the process already implemented for the SII, in SAP eDocument Framework.
  1. Reduce user adoption time to a minimum.
  1. Reduce or eliminate the impact on current invoice management processes in VIM.

Solution

Project plan

A project plan was proposed and carried out that consisted of:

  • Project duration of 3.5 months in line with what was planned

  • Include documents from FACEB2B in the Single Registration model implemented in SABA.
