Our new anonymisation tool for OpenText

At Brait, OpenText experts, we work continuously to create innovative and functional developments to enhance the native capabilities of the ECM suite. Together with our partner Nymiz, we have developed a tool to integrate their anonymisation services within the document manager, which increases the features of this tool to the already extensive functionality of OpenText Content Server.

Exclusive add-on for OpenText

Applying the Brait development team’s extensive knowledge of OpenText’s proprietary languages, we have developed a module for OpenText Content Server that allows you to start using all these features in a quick and agile way, simply by installing the module as if it were a standard one. In the case of Content Server, an out-of-the-box module is available, which once installed, by completing the available parameterisation, allows the end user to start using its advantages. In addition, integration is native to the smartview interface, ensuring simplicity and integration.

Two buttons have been added to the interface that allow direct anonymisation of documents. This enables the user to generate anonymised documents quickly and easily, with just a few clicks. The module has the logic to create the anonymised document in the same location.

In addition, a button is available for more demanding users, who will be able to perform anonymisation on demand with a higher level of configuration. At this point you will be able to control everything from the method of anonymisation to the language or entities to be anonymised. An entity is each of the types of sensitive information that may need to be anonymised and which Nymiz distinguishes. A small set of these options is shown below:

Types of Anonymisation

The available plugin allows you to hide sensitive information in your documents, so that you can share them securely and with the utmost care for the privacy of your data. Within the mechanisms for hiding information, our partner Nymiz allows different ways. These can range from crossing out the sensitive text, changing it to a series of asterisks, or using the latest means to transform.

User and application duality

The developed module seeks to expand the features of OpenText Content Server not only at the user level, but also at the API (Application Programming Interface) level. Therefore, a set of REST calls is delivered together with the module to allow external applications to make calls and consume the anonymisation services in OpenText. By extending the native functionality, calls could not only be made to retrieve the original document, but could be accompanied by calls to anonymisation services.

The main uses of the module range from audits, and being able to share sets of documents without exposing private and sensitive information to people outside the departments involved, to legal or human resources departments that need to be accessed by users who do not have to be able to view all the information held in the document manager. It is well known that these departments handle very sensitive information and that the documents contained in the document manager cannot be shared with just anyone, sometimes not even with other people in the same department.
